Support Client Treatment Compliance

As part of a condition being treated or simply due to the busyness of life, difficulty following through with homework assignments is a common experience for clients. Poor follow through with homework assignments by well meaning clients often extends the treatment process and limits client growth. By scheduling WWA Sessions throughout your client's day, you can offer support and help integrate both learning and behavioral changes throughout the various parts of their day.

Collect Real-Time Information between Appointments
Client recollection of their symptoms and progress between sessions can be unreliable and is often influenced by how they feel on the day of the appointment. The Walk-With Assistant is designed to capture and report on information collected between sessions at specific times as defined by the professional. Clicking though our pre-built push button reports allows you to quickly trend symptoms or track progress, accurately target problem times or problem areas, and provides a great springboard into the professional appointment.

Individualize to each Client's specific need

WWA Sessions can be easily modified on every level and new WWA Sessions can be easily created specific to your client's needs. The design engine powering the Walk-With Assistant allows you to quickly and easily change WWA Session times, frequency, text, allowed responses, and follow-up actions.

Follow-up to Client feedback with ‘smart' actions
Follow-ups are pre-defined actions taken by the Walk-With Assistant when triggered by a client's feedback during a WWA Session. For every response a client can choose, different follow-up actions can be assigned.

WWA Session follow ups can:

  • provide additional information,
  • ask additional questions,
  • increase WWA Session frequency,
  • decrease WWA Session frequency,
  • stop the WWA Session,
  • start an entirely different WWA Sessions, and,
  • send you an e-mail alert.

View Dashboard and Drilldown reports
Dashboard reports allow you to keep an eye your client's history of WWA Sessions completed. Pushbutton drill down reports provide for more detailed information. Saved reports allow you to quickly review how clients have responded during previous WWA Session programs. Our robust selection of pre-built reports allows you to toggle between graphic displays, lists, and side by side comparisons by the day, hour of the day, or week. If we do not offer the specific report you are looking for, export your client's data to excel and create your own reports.


How easy is the Walk-With Assistant to use?

Setting up a new Client is quick and easy
The Walk-With Assistant requires only the client's username to set up a new client. The new client information tab will also collect the client's name, gender, account number and/or date of birth for accurate client identification.

The only other required information from your client is how to communicate with them. With a click you can select either e-mail or text messaging alerts or both, and then simply type in their e-mail address or phone number. A handy "test text message" button allows you to know you have a good connection within a few minute.

The only other tasks involved in client set-up is talking with them about how to participate in WWA Sessions and giving them their copy of theWWANew Client Handout.

Scheduling a WWA session for your Client
is easy as 1 - 2 - 3

Step 1 Pick the start date and choose how many days to run your client's WWA program. You can set WWA Sessions to span any number of days as appropriate to your treatment plan.

Select the WWA session(s) to assign.
You can select one or more WWA Sessions to assign for your client.

Step 3 Choose when to have the WWA Session(s) run.

Once you have decided on a WWA Session, simply click what times to run it during the day, such as, from 8am to 8pm , and then choose which of the program days to have the WWA Session schedule itself. You can run it everyday, or pick and choose which days you will have it run on.

The task is complete. Your client is ready to walk out of your office with your virtual encouragement, support, and questions walking-with them via the Walk-With Assistant.

Building a WWA session is easy, intuitive,
and powerfully adaptable

WWA Sessions can be as simple as reminding a client to complete treatment homework at the prescribed times on the days assigned and providing specific instructions for the assignment. They can also be very elaborate and complex, asking questions and providing follow-up actions to client feedback. Follow-up actions can collect or provide additional information, increase or decrease session frequency, or start a new session with it's own pre-defined scheduling and automatic follow-up actions.

  • The first step in creating aWWASession is to determine the session's purpose so you can select the type of session needed.

    WWASession types can be set to send out information, and/or to elicit client feedback. They can wait for ongoing client feedback (and optionally prompt clients if they haven't responded in awhile). For example, our Breathing Better template reminds clients to be more aware of their breathing patterns and records their progress towards optimal breathing patterns. It also provides direction and examples of breathing pattern types for easy client reference. Our Time Manager template, on the other hand, initially records the client's daily activities as they are doing them, and, if need be, reminds them to enter a response if they haven't in awhile.

  • The second step is to determine how often and how you would like theWWASession to schedule itself.

    Now that you have selected the session's purpose and type, you can decide to send it once, or every hour, or randomly three times a day, or precisely at noon and three every other day, or just about any other combination of time and frequency that you might need.

  • The third step is to type in the text to be sent.

    Now that you have selected the sessions purpose and type as well as how frequently and when to schedule theWWA Session, it is time to type in the text the client will see. This is a free flowing text box offering you the freedom to push out tailored information. You can give instruction, ask questions, or both.

  • You have created a WWA Session!!

    If this session does not collect data or provide follow-up actions, your WWA Session is now built and ready for use.

  • If you are collecting real-time information, you can define the feedback to be elicited by the WWA Session.

    If you chose a session that collects data, it is time to decide what kind of data, either numbers or words, the WWA Session should collect. Numbers are collected within ranges and words are collected within category and subcategory lists.. For example, our Worry Manager template uses a number range between 1 and 10 to collect real-time data on how well clients feel they are managing their worry at any given moment. Our Time Manager template, on the other hand, allows client's to select the activities throughout the day from traditional category and subcategory lists (i.e. Housecleaning → vacuuming, laundry, dishes, picking up, etc.

  • Decide whether client feedback will trigger automatic follow-up actions.

    If you chose a session that collects real time data, then you can add automatic follow-up actions triggered by client responses. Follow-up actions are quick, easy, and give you the power to have multiple layers of tailored interventions suited to fit client specific needs. To add a follow up, choose the response(s) that trigger the follow-up to and then tell the Walk-With Assistant what action to take. Follow-ups can provide information, ask new questions, increase or decrease session frequency, *notify you by e-mail, or start a new WWA Sessions with their own scheduling parameters and follow-up actions.

*Due to inherent unreliability of wireless and internet communication, the Walk-With Assistant is not suitable nor intended to be used as an emergency notification devise.

Tailoring WWA Session templates is quick and easy

Our easy to use session interface makes quick work of modifying WWA Sessions. You can modify aWWASession template to personalize follow-ups, add client specific information, or vary the session frequency. Simply pull up theWWASession template from yourWWASession list, make whichever modifications you wish, and then save the session back to your library with a similar name.

Slicing and Dicing Client responses into

Viewing the real-time feedback collected from your clients in a variety of ways is quick and easy. The Walk-With Assistant has a robust selection of pre built reports that can view information by day, or hour of the day, or by frequency, or in side by side comparisons. Real-time reports can be used to spot symptom presentation patterns, trend progress towards treatment goals, or track activity completion.

How we safeguard your Client's
Protected Health Information

We provide a signed standard Business Associates Agreement to health care subscribers. The Business Associates Agreement (BAA) is a contract that defines how we as a company provide access to patient Protected Health Information.

To summarize the BAA, Bright Tiger Enterprises, LLC is not delegated to release patient protected health information (PHI) to anyone other than the subscriber of the service or as demanded by law. We are also not delegated to amend any client information. All HIPAA access and amendment requests are the responsibility of the professional provider.

Bright Tiger Enterprises follows HIPAA security rules for safeguarding client information. This includes written policies and procedures covering:

  • Training for end-users on data protection
  • Physical data security
  • Electronic data security
  • Data retention
  • Disaster Recovery
  • Accounting for breaches of privacy

The above list is not inclusive in covering all policies and procedures covering the privacy and security of Protected Health Information, but does give examples of our dedication to safeguarding PHI.

Providing training to end-users on data protection-

As a professional user, we recommend that

The Walk-With Assistant only be accessed from secure wireless connections or private protected land based connections.

Your password be a ‘strong password' and not be shared with others.

    • A ‘strong password' contains a combination of capital letters, small letters, symbols, and numbers and is not easily guessed.

Your password be changed every quarter.

You log-out of or close the Walk-With Assistant when not at your computer

As part of the initial set up, the Walk-With Assistant also provides you with a printable instruction sheet to give to your clients. The instruction sheet explains recommended safest ways of using the Walk-With Assistant. In addition, the sheet provides instructions for viewing and responding to sessions, a warning about usage charges to their wireless account for instant messaging and/or internet use, and a client rights and responsibilities in regards to using the Walk-With Assistant.

Physical Data Security

Physical access to electronic equipment storing clients' Protected Health Information is monitored and restricted to only those who require access to maintain business operations. Building security includes 24 hour monitored alarm security system. Electronic data back up, kept off-site for disaster recovery, is transported securely and kept in a physically secure environment.

Electronic Data Security

All systems containing clients' Protected Health Information are password protected with strong passwords. All electronic access to PHI is done through secure transmissions. Industry standard software that protects against virus infection and unauthorized access is kept up to date.

Data Retention 

Bright Tiger Enterprises, LLC does not keep any client information beyond the life of your subscription. Once the business contract terminates your clients' information will be sent in a read only format for your medical records file.

Disaster Recovery Plan

Bright Tiger Enterprises, LLC has a written disaster recovery plan to notify end-users by e-mail in case a disruption of business service and to quickly bring the system back on line after an outage. Our back up system allows us to bring the system back up even if the primary hosting site is destroyed by such things as a natural disaster.

Accounting for Breaches of Privacy

In the event that a breach of privacy is discovered regarding your client's Personal Health Information, as per the Business Associates Agreement, Bright Tiger Enterprises, LLC will notify you of the breach and take corrective action steps. Additional actions related to a discovered breach are defined in the signed BAA.
